Under Texas Administrative Code Title 13, Chapter 3, Stephen F. Austin State University is required to provide copies of all physical publications to the Texas State Publications Depository Program. The Program is designed to collect, distribute, and preserve the publications of state government and to promote their use by the citizens of Texas. By law, colleges and universities are required to send copies of their publications to the Program. Once received, the publications are distributed to specially designated libraries in Texas.

How do I submit publications to the State Publications Depository Program?
All pertinent publications must be sent to the University’s Publication Liaison who will officially submit on behalf of the University. Within 30 days of publication, send 6 copies of the material with a completed State Publications Submission Form to:

Publications may also be submitted in person at the East Texas Research Center, room 202 in the Ralph W. Steen Library.
What kinds of publications need to be sent?
Your office or department should send a publication to the State Publication Liaison if it meets all three of the following criteria:
- It is information published in a physical format, such as paper, microfilm, audio/video disc, film, etc.
- It is produced at the total or partial expense of the University, or is published under its authority. This includes publications the University has sponsored or purchased for distribution as well as those that result from a consultant contract with an external entity.
- It is intended to be distributed outside of the of the University on request or in multiple copies.
What kinds of publications do not need to be sent?
Any materials produced solely to meet the University’s internal operating needs do not need to be sent to the Publications Liaison, such as employee announcements, calendars, contracts, forms, etc. SFA merchandise such as stationery or planners do not need to be sent. However, internal publications should be submitted to the University Archivist.
